Email contact automation for existing business partners
Turn addresses already present in received Microsoft 365 mail into business partner contacts. Match company website domains, keep exclusions under control and avoid checking the same address again.
How does email contact automation work?
When a system administrator enables the feature for a company, a bounded worker reads sender, To and CC email addresses and display names from received mail metadata. A matching website domain links the contact to an existing business partner in SAP Business One or Salesforce. Subjects, bodies, signatures and attachments are not requested.
Contacts from metadata, with company controls
Match existing companies
Match the email domain or its subdomain to an indexed partner website. Add contacts to existing remote partners and store them privately for the same company in the configurator. Ambiguous matches are skipped.
Control access and exclusions
Only system administrators activate scanning. Company administrators can view results and manage address, domain and mailbox exclusions while enabled. Simple * patterns filter unwanted addresses before partner processing.
Skip repeated addresses
A compact company-scoped email fingerprint prevents repeated validation across mailboxes and historical scans. Existing remote contacts are left unchanged. No per-message archive is created.
How it works
- 1
Configure Microsoft access
A system administrator manually configures the customer application permissions using the protected, printable guide.
- 2
Activate for the company
Enable scanning after ERP activation and define exclusions. Automatic processing starts with messages received after activation.
- 3
Match and append
The worker checks sender, To and CC addresses against indexed website domains and appends new contacts to supported existing partners.
- 4
Review or validate history
View contact results in company settings. A system administrator can request old-email validation from an explicit date up to activation.
Example: a new supplier contact in a received email
A received message includes Jane at sales.partner.example. An existing partner has www.partner.example as its website. With scanning enabled and no exclusion, the worker retains Jane’s display name, splits name parts when possible and adds the email contact to that partner. Repeated appearances of the same address are skipped for this company.
A domain match does not verify a person’s identity or employment. Duplicate partners, unsupported providers and uncertain writes require attention. Sent-folder messages and drafts are excluded; this is not a complete mail archive. Only mail still accessible to Microsoft Graph can be checked. No new business partner is created in the ERP.
